If you’ve ever had to keep track of receipts either for yourself or your employer you know what a nightmare it can be. And for some reason companies are reluctant to reimburse you for a hotel stay from 2009. So unreasonable. You may have at one time had a folder in your office full of random expenses and organizing them is not a party I want to go to. Then there’s the thermal paper used by more and more businesses which rubs off with just a stern glance.

This is why Expensify is so wonderful. The app, available for most any device, is a great way to keep track of receipts for reimbursement or tax purposes. Receipts can be uploaded via the web, email or smartphones and the app will automatically scan the merchant, date and amount off the image. You can also email electronic receipts singly or in bulk. Once you register your credit cards the site will also associate receipts with that particular card. Each transaction will then be automatically categorized and logged. Once they’re in the system they can be sent to accounting for reimbursement directly to a checking account. It even tracks mileage. How cool is that?

Expensify is meant to work with a companies existing accounting software and not meant to be a stand-alone accounting system. But that’s fine as it can be synced with your software to generate any sort of report needed. The accounting department can pull details of and organize any aspect of your company’s expense activity. They can create graphs and charts to see a breakdown spending by person, type of expense, merchant or many other filters. Expensify can even be configured for an individual company’s rules and regulation regarding types of acceptable expense as well as the expense report format.

Expensify is a great tool for any business that frequently reimburses employees or associates. It eliminates the crumpled receipt from six months ago and the chronically late expense reports from overworked road warriors. The varieties of reports it generates can help you lower operating costs and keep expense fraud to a minimum. And if you’re a sole proprietor it can stop major headaches as you fulfill your duties as salesman, office janitor, receptionist and amateur accountant.
